CRM setup on HubSpot

HubSpot, set up for work that takes more than one call to win

Some jobs are won over weeks: a site walk, a proposal, a second meeting, a revised number. We set up HubSpot so each deal has a stage, an owner and a next step.

CRM setup on HubSpot

What does CRM setup on HubSpot include?

It includes a HubSpot account built around how your deals are won, with your contacts brought in and your website, inbox and calendar connected. Optimus Business Solutions in Salem, New Hampshire sets up the deal pipeline, the fields your team fills in, and the users and their permissions, then wires the forms on your site so each inquiry becomes a contact without anyone typing it. HubSpot offers a free CRM to start on, and we tell you plainly when a feature you want needs more than that.

Who it fits

Who HubSpot fits, and who it does not

HubSpot fits a business where a sale takes several conversations: commercial contractors bidding on buildings, remodelers who meet twice before a contract, property service firms that sign yearly agreements, and any company whose office runs on email. It is a sales tool first. It does not dispatch crews, route trucks or bill from the driveway. If most of your work is a same-week service call, field service software usually fits better, and we will say so before anything gets built.

  • Commercial and bid work with long decisions
  • Offices that sell through email and meetings
  • Owners who want to see every open deal by stage

One time

A pipeline that follows how you sell

In HubSpot every deal stage can be named, reordered and given a chance of closing, and a stage can require certain details before a deal moves past it. We set the stages to your path, from first inquiry to site walk to proposal to signed, add the custom properties your trade tracks, import your contacts, companies and open deals from a spreadsheet, and add each person with only the access their job needs.

  • Deal stages named the way your team talks
  • Required details at the stages that matter
  • Contacts, companies and open deals imported and linked

Connected

Inquiries that file themselves

HubSpot can collect what people send through the forms already on your website, so an inquiry shows up as a contact by itself. We connect your email inbox so replies log to the right record, and build a scheduling page tied to your calendar so a prospect can pick a meeting time. Other tools join through the HubSpot Marketplace or its open developer connections. Some connections depend on the plan your account is on; we check that before we start.

  • Website forms feeding contacts on their own
  • Email replies logged on the customer record
  • A scheduling page synced with your calendar

Yours to run

Your team running it the week it goes live

We walk your team through one of your real deals from inquiry to won, on the desktop and on the free HubSpot phone app, until moving a stage feels routine. The account is in your company's name with you as its top administrator. We stay on as a user you can remove, and when a new service line or a new hire changes things, we adjust it.

  • A walkthrough built on a deal you are working now
  • You hold the top administrator role
  • Adjustments as your business changes

Questions owners ask

HubSpot: straight answers

Answered in seconds from this site only, with a link to where each answer is written.

Is HubSpot too much for a small company?

Not when it is set up lean. Most small companies need a short list of what HubSpot does: contacts, deals, a pipeline, forms and email. We turn on that list, keep the rest out of the way, and add more only when you ask.

Can HubSpot schedule my crews and send invoices from the job?

That is not what HubSpot is built for. It tracks the sale up to the signed contract very well, and scheduling pages let prospects book a meeting, but dispatching techs and billing on site belong to field service software. If that is your daily work, we will point you to a tool made for it.

We already opened a HubSpot account. Do we start over?

No. We open what you have, keep the contacts and history worth keeping, merge the duplicates, and rebuild the stages and properties around how you really sell. A half-finished account is a common starting point, and nothing gets deleted without your yes.

What happens to an inquiry from my website?

It lands in HubSpot as a contact, with the form it came through recorded on it. From there a deal is opened at the first stage of your pipeline, and every email that follows logs to the same record, so whoever picks it up next can read the whole story before calling back.

Can I see what is in the pipeline without asking anyone?

Yes. The pipeline board shows every open deal by stage, and HubSpot's sales reports read from it, which is why each pipeline needs a won stage and a lost stage. We set those up and save a plain view of open deals and recent wins, so you know where things stand.
