What is included in CRM setup on Housecall Pro?
It includes a Housecall Pro account set up for your trade, your customers imported, your team added by role, and online booking and customer texts switched on. Optimus Business Solutions in Salem, New Hampshire builds your price book, the job types and tags your reports run on, and the Pipeline boards that track leads, estimates and jobs, then connects your website so bookings land on the schedule by themselves.

Who it fits
Who Housecall Pro fits
Housecall Pro is built for home service pros who run techs in the field: plumbing, heating and cooling, electrical, cleaning and more. The office books and dispatches, the tech works the job from the phone app, and the customer hears from you at each step. It is not made for long, meeting-heavy commercial sales; a sales CRM handles that better. A one-person shop that rarely books ahead may not need this much yet, and we will say which you are.
- Shops with an office and techs on the road
- Trades that book and dispatch every day
- Owners who want customers kept in the loop by text
One time
Price book, job types and roles, built in
Every service you sell goes into the price book, with a switch for whether customers can book it online. We add the job types, business units and tags your reports filter by, import your customers from a spreadsheet, and add each employee as an admin, office staff or field tech. Field techs work from the phone app, with permissions set person by person.
- Price book services written for your trade
- Job types and tags your reports can sort by
- Each employee added in the right role

Connected
Bookings, texts and calendar wired in
Online booking puts a Book Online button on your website, and each booking arrives as a job or an estimate, whichever you chose for that service. Customers get a text when a job is scheduled, when the tech is on the way and when the work is finished, and their replies come back to your team. Jobs can also push out to your calendar. Some connections depend on the plan your account is on; we check that before we start.
- A Book Online button on your website
- Scheduled, on my way and finished texts switched on
- Customer replies routed to the tech or the office
Yours to run
Office and techs trained on their own screens
The office learns the schedule, the Pipeline boards and the inbox on the web. Each tech learns the phone app on a real job, from on my way to finish to taking payment. The account belongs to your business with you as its admin, and we keep a login you can take away. When you add a service or hire a tech, we update the account to match.
- Office staff trained on the web screens
- Techs trained in the app on a live job
- The account kept current as you grow

Where this connects
The CRM is where every lead lands. These are the pages on either side of it.
Questions owners ask
Housecall Pro: straight answers
What is Pipeline in Housecall Pro?
Pipeline is a set of boards showing every open lead, estimate and job in one view. A lead marked won can be copied into an estimate or a job, and follow-ups can run off the status a card is in. We set it up so the office sees at a glance what is waiting on a call back, an estimate or a date.
Who gets a customer's reply to a text?
It depends on where the job stands. While a job is in progress, the assigned tech gets the reply in the phone app and the office can see it too; otherwise it goes to the inbox for admins and office staff. We set the roles so the right person answers.
Will texts reach customers who only gave a landline?
No. Housecall Pro does not send text notifications to landlines, so during the import we check that each customer has a mobile number on their record. A customer with only a landline still gets the email when a job or estimate is scheduled.
Can Housecall Pro connect to the rest of my software?
Many tools join through the app store inside Housecall Pro. Deeper custom connections go through its API, which is open only on some accounts, and only an admin can create the key it needs. We check what your account allows before we promise a connection, and that key stays with you.
I am switching from another system. What comes over?
Names, addresses, phone numbers, emails and customer notes come over from a spreadsheet, and past jobs can be imported from a file as well. Housecall Pro supports one level of customer, so a property manager with many sites gets each site as its own row. We clean the list first so the account starts without duplicates.
