No answering system should be trusted with every call. The safe design is a written set of boundaries: what the AI can finish, what it must transfer, and what it records for a person to handle next.
The four outcomes every call needs
| Call type | Best next step |
|---|---|
| Routine service request | Collect details and offer an approved booking |
| Possible emergency | Read the approved safety instruction and transfer |
| Complaint or upset caller | Acknowledge, capture the issue, and alert a person |
| Unknown question | Say it cannot confirm and arrange a callback |

A transfer is part of the system
The handoff should carry the caller name, contact details, reason for calling, urgency, and any appointment discussed. The caller should hear exactly what happens next. A silent transfer or vague promise is not a handoff.
- Define the emergency words that trigger escalation
- Set who receives each kind of call
- Choose what happens after hours
- Review call summaries and refine the rules
Common questions
What if nobody can answer the transfer?
The AI should say that clearly, collect the required details, and state the callback expectation the business has approved.
